Overview:
The Purchasing Agent is responsible for leading all purchasing and sourcing activities at the factory level. This role manages daily procurement operations, including acquiring raw materials, components, equipment, and services, as well as overseeing new and existing work orders. The manager ensures the team has the resources necessary to support production, business functions, and product distribution effectively.

A critical responsibility of this position is working closely with the Maintenance Department to ensure the proper procurement, utilization, and upkeep of all factory equipment. By collaborating with maintenance, the Purchasing Agent helps guarantee equipment reliability, minimize downtime, and control long-term operating costs.

This role also focuses on timely procurement while optimizing cost, quality, and supplier performance. The Purchasing Agent partners with production, quality, finance, supply chain, and maintenance teams to maintain efficient operations and achieve business goals.

Key Responsibilities:

  • Develop and implement procurement strategies that align with production schedules and company objectives.
  • Manage supplier selection, negotiation, and contract management to secure favorable pricing, quality, and delivery terms.
  • Monitor material requirements planning (MRP) and ensure on-time availability of raw materials and components.
  • Collaborate closely with accounting to manage Accounts Payable for all factory vendors.
  • Manage relationships with both domestic and international suppliers serving as the primary point of contact for communication regarding contracts, delivery schedules, production planning, quality control, forecasting, and receiving.
  • Act as the lead contact for new product introduction with international vendors.
  • Build and maintain strong relationships with suppliers while identifying opportunities for cost savings and value improvements.
  • Track and analyze procurement KPIs, including cost reductions, lead times, and supplier performance.
  • Resolve issues related to delivery delays, shortages, or quality concerns in collaboration with suppliers and internal teams.
  • Ensure compliance with company policies, ethical standards, and regulatory requirements.
  • Manage all procurement duties at the factory level, providing leadership, coaching, and performance feedback.
  • Collaborate with finance to manage budgets, forecasts, and cost control initiatives.
  • Continuously review market trends, new suppliers, and alternative materials to support innovation and cost efficiency.

Qualifications:

  • Bachelor’s degree in business administration, or related field, preferred.
  • 3+ years of procurement experience in a manufacturing or factory environment.
  • Strong negotiation and contract management skills.
  • Knowledge of supply chain processes, ERP system, and inventory management.
  • Excellent communication, problem-solving, and analytical skills.
  • Proven ability to manage multiple priorities in a fast-paced production environment.
  • Familiarity with lean manufacturing and continuous improvement practices is a plus.
  • Experience with international logistics, including ocean freight, customs clearance, freight forwarding, and understanding tariffs and duties is a plus.
