Job Description

The Project Coordinator is the traffic controller for their respective team; they help to keep the team organized and on track by scheduling calls, and project meetings, tracking work back schedules, tracking costs, and producing expense reports for the Senior Project Manager to review. A Project Coordinator is expected to communicate available bandwidth with their team and take on production management tasks as well as lead certain projects where the team sees fit.

A good Project Coordinator has a wide range of interests, an enthusiasm for growth, and transferable skills such as communication, organization, and management. The Project Coordinator is expected to play a support role on a wide range of projects and be able to execute tasks efficiently.

This position reports to our office in Brooklyn - remote work is not available.

Team Support:

  • Making sure Asana is managed projects are up to date.
  • Keep the team drive organized and up to date.
  • Keep all project folders organized and up to date.
  • Keep a team calendar with scheduled calls with clients.
  • Prep for project meetings (reserve conference room, send meeting invites, print documents).
  • Keep a team calendar with work back schedules incorporated to track production.
  • Take the lead on certain projects when / if the team sees fit.
  • Work with the Staffing Manager to book labor.


Vendor Management:

  • Request RFQs.
  • Make sure that vendors have all the necessary information for delivery and/or installation.
  • Record expenses.


Expense Reporting:

  • Keep a record of all invoices and expenses.
  • Request coding for all CC expenses and record accordingly.
  • Produce expense reports.
  • Review expense reports with Sr. PM or PM before closing.
  • Keep a record of all expense reports produced in the team drive and Concur support as needed.


Minimum Job Requirements:

  • Up to 1 year of experience in the Construction industry is preferred.
  • Up to 3 years of coordinating experience is preferred.
  • Computer literate, with intermediate to advanced skills using common business software/applications (Google Drive / Excel).


Preferred Qualifications:

  • Aptitude to quickly learn new systems and software.
  • Ability to multi-task & prioritize, with strong organizational and follow-up skills.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills and extremely resourceful.
