Frost Brown Todd LLP , a national law firm with 1000+ legal and business professionals in seventeen offices, is currently searching for a full-time Office Assistant/Receptionist to join our Denver office. This individual will play a crucial role in supporting our team and providing a welcoming environment to our clients and guests.

Key Responsibilities:

  • Meet and greet all guests, clients and visitors to the law office in a courteous and professional manner; direct all incoming guests to conference rooms or waiting areas; and provide assistance as needed.
  • Maintain conference center schedule using online software. Work with and communicate to attorneys and business professionals all accommodations for conferences, events and receptions.
  • Arrange for catering with outside vendors. Coordinate payment and delivery, ensure proper catering and beverage setup for conference center and meetings. Review and process invoices for payment, charging appropriate accounts including client, marketing and personal accounts. Provide records of payments to Office Manager.
  • Support administrative needs of attorneys and clients in the conference center, i.e., notary needs, copies, scan, fax, technical assistance, facilities management, etc.
  • Retrieve mail and packages from mail drop-off areas, sort and distribute all incoming mail and packages. Sort and process all outgoing mail, including overnight packages via UPS and FedEx.
  • Handle and coordinate office maintenance requests. Coordinate requests for building access cards and parking tags with building personnel. Record and maintain all parking validations distributed to clients and visitors, including monthly reconciliation of charges.
  • Track and place orders for office/kitchen supplies and validate that deliveries are complete.
  • Maintain overall organization and cleanliness of the supplies/copy/file workrooms; maintain sufficient paper levels in printers/copiers and general supplies in common areas.
  • Maintain cleanliness of kitchen, conference center, reception desk and surrounding areas; stock refrigerators and coffee bars; load/unload dishwasher.
  • Assist attorneys with travel arrangements, expenses reimbursements and other routine tasks.
  • Walk to deliver and file legal documents within the Denver area as needed.
  • Assist Office Manager, attorneys and business professionals with special projects as needed.
  • Utilize the firm’s designated bar-coding software to request Records labels (file labels); assist with creation, maintenance and tracking of Records; assemble files and file information utilizing alphabetical, numerical, and other filing guidelines.

Job Requirements:

  • Some college preferred, or equivalent combination of education, training, and experience.
  • Previous law firm experience preferred, but not required.
  • Computer proficiency, preferably with Microsoft Office products such as Word, Excel, and Outlook.
  • Ability to operate standard office equipment such as multi-functional devices, copiers, printers, and scanners.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to shift attention from one area of work to another quickly without frustration.
  • Ability to handle confidential information.
  • Interpersonal skills necessary to communicate in person, by e-mail and telephone and follow instruction effectively from a diverse group of attorneys, managers, business professionals, and vendors to provide information with ordinary courtesy and tact.
  • Ability to self-direct and proactively seek out work during slow periods.
  • Ability to answer phone courteously and professionally and transfer calls quickly. Ability to greet clients in a courteous and professional manner.
  • Ability to retrieve and distribute files weighing up to 40 pounds and ability to retrieve and replace objects from shelves up to 8 feet high, sometimes a large amount in a day.
  • Work may require irregular hours from time-to-time and occasionally requires more than 40 hours per week to perform the essential duties of the position.

The pay range for this role accounts for the wide range of factors considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. For applicants physically based in Denver, a reasonable estimate of the current range is $22.00 – $25.00 hourly. Actual pay will be determined based on skills, relevant experience and other job-related factors, consistent with applicable employment laws.
