Job Description Job Summary: Under the general direction of the City Manager, provides professional-level support, management, and oversight to key programs and processes assigned to the City Manager, Deputy City Manager, and the City Manager's designee. Additionally, this position manages, various complex projects assigned by the City Manager.
Typical Duties Essential Job Duties/Responsibilities: Essential duties and functions may include the following. Must possess required knowledge skills, abilities, and experience and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed. Other related duties may be assigned.
- Provides complex, professional-level support to the City Manager and the City Manager's Office.
- Performs a variety of administrative, office management, or general office functions in support of the City Manager and the City Manager's staff; provides principal administrative support to the City Manager and disposes of matters of a routine nature to conserve the manager's time.
- Operates as an ambassador for the City Manager's Office, by greeting visitors, scheduling meetings, and corresponding on behalf of the City Manager.
- Represents the City Manager's Office at various meetings including those requiring interagency coordination, keeping the City Manager apprised of issues as they arise.
- Produces all forms of correspondence including but not limited to; formal letters, memorandums, presentations, and worksheets, tracks and monitors office supplies; maintains files and records; prepares purchase orders and work orders; verifies billing information, prepares invoice packets and prepares draw down request forms.
- Collects, sorts, and delivers mail; Enters and reconciles payroll, and leave documentation, and provides customer service support as required.
- Develops department communications by creating and recording telephone greetings as necessary; updates the website as needed and answers website emails.
- Provides research, preparation, and coordination of projects and reports as required.
- Organizes and implements, staff/citizen or internal staff meetings; assists with meeting activities by preparing meeting materials and handouts, attending meetings, taking minutes, and proofing, formatting, and filing agendas.
- Assists with preparation of annual budget; tracks and reports monthly variances to plan.
- Assist in the review and revision of assigned policies and procedures.
- Oversees the office by helping manage facility maintenance, organizing, assigning, and reviewing assignments, assisting with building and office needs, maintaining supplies and office machines, printing budgets, and assisting with various multi-departmental projects.
- Assists in the coordination of community or department events.
- May be assigned the responsibility of conducting special projects or research assignments of a moderately complex nature and may direct a specialized function or activity of a division.
- Other duties as assigned.
Education & Experience Minimum Qualifications: - Associate's Degree in public administration, business, or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job, and
- A minimum of five (5) years increasingly responsible recent experience in public administration or municipal operations, or
Any equivalent combination of education and experience sufficient to successfully perform the essential functions of the position.
Supplemental Information Knowledge, Skills, and Abilities: - Comprehensive ability to consider a broad range of activities and perform substantial analysis.
- Comprehensive knowledge of municipal organizational structure and operation, legal and political environments of local government
- Comprehensive knowledge of problem conflict management and customer relations techniques •Proficient skills to communicate clearly and concisely in English, both orally and in writing
- Proficient skills in Microsoft Office Suite including Excel, Word, and PowerPoint. •Comprehensive understanding of all City safety rules and operating procedures
- Advance analytical skills to prepare and present special research projects.

Insurance: HEALTH
Choice of three medical plans to include a High Deductible Health Plan and two PPO plan options.

DENTAL
Employee Only premiums are paid at 100% by the City. Dependent coverage is available at the expense of the employee.
VISION

BASIC LIFE/ AD & D
The City provides each employee with a life insurance policy of $20,000, and covers spouses for $5,000 and dependent children for $2,000. Additional coverage may be purchased at the expense of the employee.

Employees may elect to be covered under various supplemental policies at their own expense.

Retirement: TEXAS MUNICIPAL RETIREMENT SYSTEM
