The Animal Intake Manager oversees the daily operations of the Intake department, ensuring compassionate and professional support for clients and animals. This role leads a team dedicated to counseling clients, exploring resources to help keep pets with their families whenever possible, and managing intake services when rehoming is needed. The position requires strong leadership, communication, and organizational skills to uphold Lollypop Farm’s mission and values while creating positive outcomes for both people and pets.

Essential Job Duties:

Operations

  • Manages intake services and team focused on counseling clients considering relinquishment, those who have lost or found pets, or those requesting end-of-life services, and connects clients with programs.
  • Oversee scheduling of shelter intake appointments and ensure smooth intake processes.
  • Communicates with intake clients as needed. Handles challenging customer situations and complaints relating to intake.
  • Collaborates with Shelter, Clinic, and Placement teams to develop pathway plans for all incoming animals. Evaluates pre-intake behavior surveys and collaborates with behavior supervisor to determine the appropriate pathway for dogs with behavior concerns.
  • Communicates regularly with the Director of Admissions and Community Resources regarding day-to-day operations.
  • Recruits, trains and provides direction to assigned volunteers.
  • Supervises, models and reinforces customer service skills and professionalism.
  • Performs euthanasia as necessary.
  • Maintains SOPs for department processes.
  • Observes all safety rules and regulations for self and others.
  • Maintains good housekeeping.
  • Carries out responsibilities in accordance with the company’s policies and applicable state and federal laws.
  • Performs other duties as required.

Leadership

  • Provide oversight of the Intake department, ensuring effective owner retention and intake-diversion counseling, intake scheduling, and client communication.
  • Lead, coach, and motivate the Intake team, fostering professional growth, accountability, and alignment with organizational values.
  • Ensure consistent, timely communication across the team and with other departments, prioritizing urgent matters as needed.
  • Evaluates various choices and chooses the best option to meet organizational goals and objectives.
  • Manages supply orders and purchase orders.
  • Leads both people and processes to get results. Sets a personal example of expectations of others, exemplifying the organization’s core values in their actions.
  • Motivates and counsels subordinates, mobilizing group effort toward a common goal. Leads team meetings and conducts one on ones with direct reports.

  • Oversees performance & recognition for direct reports. Ensures that people grow in their jobs by learning new skills and competencies. Sets employee/team goals and celebrates accomplishments. Evaluates performance, monitors progress and implements performance improvement as needed.
  • Actively participates in and contributes to cross functional projects.
  • Relates effectively with co-workers, leaders, donors and customers in a positive and professional manner. Establishes good interpersonal relationships by helping people feel valued, appreciated, and included in discussions.
  • Acts as the primary decision maker in employment decisions for direct reports. Trains and directs regular work of staff members. Ensures adequate staffing of department, as well as assigns duties and evaluates the team for effectiveness.
  • Builds consensus around a common set of values and enlists others in a common mission by appealing to shared aspirations. Develops cooperative relationships among team members and resolves conflict effectively. Ensures team treats each other with dignity and respect.

Requirements:

Education & Experience: High School diploma or equivalent education. Bachelor’s degree in social work or related field preferred. Two years of animal experience is strongly preferred. Two years’ related experience including one year of leadership experience is strongly preferred. Prior supervisory experience including the responsibility of training staff and/or working with volunteers preferred. Certified in humane euthanasia or qualified to become certified. A combination of education and experience will be considered if aligned with the position.

Skills: Demonstrated initiative to lead at a higher level, prioritizing growth opportunities and experiences. Highly organized with strong communication and record keeping skills. Strong interpersonal skills with a positive, dynamic, engaging personality. Skilled in delivering compassionate, clear, concise, accurate, and timely communications. Able to work calmly and effectively in a noisy and busy environment. Able to prioritize task and adapt to change.

Physical Demands: While performing the duties of this job, the employee is frequently required to remain in a stationary position during shift, move throughout the building and move weight up to 50 pounds. Frequently required to communicate with others. Occasionally required to move excessive weight.
