Job Description
Associated Supermarket Group (ASG) has an excellent opportunity for an Administrative Assistant/Receptionist. The Administrative Assistant/Receptionist will play a crucial role in providing administrative support and managing the front desk area serving as the first point of contact for visitors and callers. This role will also assist with various administrative tasks to ensure the smooth functioning of the office or workplace. The role requires excellent communication, organizational skills, and a professional demeanor.
Type: Full-Time
Location: Port Washington, NY (in person 5 Days a week)
Duties and responsibilities:
Reception:
· Handle incoming calls, route calls to the relevant individuals, take messages accurately, and manage voicemail and email inquiries.
· Greet visitors, clients, and employees with a friendly and welcoming attitude. Provide information, answer inquiries, and direct them to the appropriate person.
· Manage the office calendar, organize & update for meetings.
· Keep the reception area and common spaces tidy and organized.
· Monitor inventory of office/kitchen supplies and advise when orders need to be placed.
· Send Fedex mail as needed.
· Keeping important documents safe for those in the office.
· Provide backup to mailroom administrative assistant by mailing statements to customers.
· Provide other administrative support, as requested
Human Resources:
· Assist the Human Resources Manager in various Human Resources tasks, e.g. the onboarding/offboarding process, preparing new hire paperwork.
· Assist in the support of employee engagement initiatives to drive retention and satisfaction.
· Update the bulletin board in the kitchen, as needed.
· Perform special projects and other duties as assigned.
Qualifications:
· Bilingual in Spanish and English a must.
· High school diploma or equivalent required, bachelor’s preferred.
· 1 year experience as a receptionist/administrative assistant.
· Excellent verbal and written communication skills, with a professional and courteous demeanor.
· Strong organizational abilities to handle multiple tasks, prioritize work, and meet deadlines.
· Proficiency in Microsoft Office (Word, Excel, Outlook).
· Familiarity with office equipment, e.g., multi-line phone systems, printers, and copiers.
· Attention to detail and accuracy.
· Discretion and confidentiality in dealing with sensitive information.
· Ability to work both independently and collaboratively as part of a team.
Compensation : This is a non-exempt position; hourly rate $21 - $25.
